A restaurant CRM that remembers every guest, and keeps them yours

Every booking adds to a guest profile: visits, spend, dietary needs, notes and tags. Brief your team before service, find your regulars in seconds, and bring lapsed guests back, with a guest list you can export whenever you like.

Included in every account. $1.25 per cover, no subscription.

The first booking creates the profile: name, contact details and the visit itself.

By the fourth visit your team has noted a dietary need and a favourite table, and tagged Tom a regular. His spend comes in from the till.

Twelve visits in, you know who Tom is: what he spends, the wine he orders, the review he left and the tags that matter.

An example guest. Spend appears when you connect a Square till.

Your guest list belongs to your restaurant

Every guest who books with you is recorded against your business, and that record is yours to use and keep.

  • Export it whenever you like

Download your guests as a spreadsheet: contact details, notes, tags, visits, spend and marketing consent. Export the whole list or just the group you've filtered to.

  • Consent is given to you

Guests opt in to email from your restaurant when they book, and the date and where they did it are saved on their profile.

  • No upgrade to unlock it

The guest CRM is part of every account. There's no premium tier and no add-on fee.

  • No contract holding you in

If you ever leave, export your guest list and take it with you.

What a guest profile holds

Profiles build themselves. A guest's first booking creates one, and every booking after that is added to it, whether it came through your website, over the phone or from your team.

On the mobile app, your team can pull up a guest by typing the last few digits of their phone number or search their name, then add a note or a tag on the spot.

Visits and last visit
How often they come, when they were last in, and any bookings still to come.
No-show rate and average party
How reliable they are and how many they usually bring.
Lifetime spend and spend per cover
Recorded from each settled bill when you connect your Square till.
Dietary needs, seating and notes
Saved to the guest rather than one booking, so they're there next time.
Tags
Labels for the guest, like VIP or press, and for a single visit, like birthday or set menu.
Visit history and reviews
Every booking, where it came from, and the star rating they left.
Marketing consent
Whether they've opted in to your emails, and when.

A pre-shift brief that knows who's walking in

Every service starts with a pre-shift brief built from your bookings and guest profiles. Your front-of-house team sees everyone booked, in seating order: which guests are regulars and how often they've been in, who's visiting for the first time, and who's a VIP. Every table gets the right welcome, without anyone digging through notes.

Allergies and dietary needs stand out at a glance, so the kitchen knows before the first guest sits down. Birthdays, anniversaries and other special requests sit alongside each booking, with any deposit already paid or balance still to collect.

The summary counts counts covers, bookings, returning guests and dietary needs, so you know how busy the night will be before it starts. Open the brief on the web or the mobile app, and look ahead to tomorrow's service the night before.

Find the guests you're looking for

Filter your guest list by contact details, by tag, or by behaviour: visits, no-shows, amount spent, and when they first or last came in. A running count shows how many guests match as you go.

Or describe the group in your own words, such as "regulars we haven't seen since spring", and AI suggests the filters. Nothing changes until you've checked them.

Save a filter you'll want again as a segment, like lapsing regulars or big spenders, and export any group to a spreadsheet in one click.

Bring guests back with email that sends itself

Send a one-off campaign, like a quiet-Tuesday offer or a new seasonal menu, or set up an automation that keeps emailing each guest who matches it. Emails carry your restaurant's name and branding, and AI can suggest ideas from your own bookings or draft the email for you. You review everything before it goes out.

Only guests who have opted in are ever emailed. Consent is checked again at the moment of sending, and every email has an unsubscribe link. 1,000 marketing emails a month are included for free each month.

One guest, one profile

A new booking joins an existing profile when the guest's first name, last name, email and phone number all match. If anything differs, such as a new mobile number or a misspelt surname, a new profile is created rather than risk attaching the booking to the wrong person.

When the same guest does end up with two profiles, the Duplicates view groups profiles that share an email address or phone number. Merge them, and every booking, tag, review and spend figure moves onto the one you keep.

Questions restaurants ask about the guest CRM

What is a restaurant CRM?

A restaurant CRM keeps a profile for every guest (their visits, spend, preferences and notes) so you can recognise regulars, brief your team and email the right people. In Make a Rezzy it's built into the booking system, so profiles fill in from bookings on their own.

Who owns the guest data?

Your restaurant. Guest profiles are kept against your business, you can export them to a spreadsheet at any time, and guests opt in to marketing email from your restaurant specifically. There's no contract, so if you ever leave, you export your list and take it with you.

Can I export my guest list?

Yes, as a CSV file, at any time. The export includes contact details, notes, seating preferences, dietary needs, tags, total visits, last visit, lifetime spend and marketing consent. It follows whatever filter you have on, so you can export one group or everyone.

Does it track what guests spend?

Yes, when you connect a Square till. Each settled bill is recorded against the guest, building their lifetime spend and average spend per cover. See how the Square connection works.

Can I email my guests from it?

Yes. Send one-off campaigns or set up automations, such as a we-miss-you email for lapsed guests. Only guests who have opted in are ever emailed, and up to 1,000 marketing emails a month are included.

How much does the guest CRM cost?

Nothing extra. The CRM is part of every Make a Rezzy account, which costs $1.25 per seated cover, capped at $125 a month, with no subscription.
